Admin Quick Start: Set Up Your Organization in 15 Minutes
Welcome to SkillStream LMS. This guide walks you through every step you need to complete before inviting your first learner. Follow these steps in order to ensure nothing is missed.
Step 1: Complete Your Organization Profile#
- Go to Admin → Settings → Organization.
- Upload your organization logo (PNG or SVG, minimum 200 × 200 px).
- Set your organization name, website, and timezone.
- Click Save changes.
Your logo and name appear in learner-facing emails, certificates, and the learning portal header.
Step 2: Configure Your Branding#
- Navigate to Admin → Settings → Branding.
- Set your primary color — this is used for buttons, links, and certificate accents.
- Upload a custom login background image (optional).
- Preview how the learner portal looks using the Preview button.
- Save your changes.
Step 3: Set Up Single Sign-On (Recommended)#
If your organization uses an identity provider (Google Workspace, Microsoft Entra, Okta, or any SAML 2.0 provider), configure SSO before inviting users so they can log in with existing credentials.

Skip this step if you plan to use email/password login. You can always add SSO later.
Step 4: Define Your Departments and User Groups#
Departments and groups let you assign training curricula and filter reports by team.
- Go to Admin → People → Departments and add your departments (e.g., "Engineering", "Sales", "Operations").
- Go to Admin → People → User Groups and create groups if you need finer-grained targeting (e.g., "New Hires 2026").
You do not need groups before inviting users — you can assign them later.
Step 5: Create Your First Course#
Before inviting learners, have at least one course ready for them.
- Go to Admin → Courses and click Create course.
- Add a title, description, and cover image.
- Add modules and lessons (video, document, quiz, or SCORM/xAPI).
- Publish the course when you are ready.

Step 6: Invite Your Learners#
- Go to Admin → People → Invitations and click Send invitations.
- Enter email addresses (comma-separated) or upload a CSV.
- Assign a department and role (Learner or Instructor).
- Click Send.
Learners receive a welcome email with a link to set their password and access the platform.

Step 7: Enroll Learners in Training#
After inviting users, assign them to courses:
- Go to Admin → Enrollments → Assign.
- Select the course(s) and the users or groups to enroll.
- Set an optional deadline.
- Click Enroll.
Learners immediately see the assigned course in their learning dashboard.
Step 8: Review Your Analytics Dashboard#
Once your first learners complete training, review results at Admin → Analytics → Overview. Key metrics available from day one:
- Active learners this week
- Course completion rates
- Assessment pass rates
- Overdue training counts
