Invite Users to Your Organization

You can invite users one at a time or in bulk using a CSV file. Invited users receive a welcome email with a link to set their password and access the platform.

Invite Individual Users#

  1. Go to Admin → People → Invitations.
  2. Click Send invitations.
  3. Enter the user's email address.
  4. Select a Role: Learner, Instructor, or Admin.
  5. Optionally assign a Department and User group.
  6. Click Send invitation.

The user receives an email within a few minutes. Invitations expire after 7 days.

Bulk Invite with CSV#

  1. Go to Admin → People → Invitations and click Import from CSV.
  2. Download the CSV template to see the required column format.
  3. Fill in the template with your users' details:

  1. Upload your CSV and click Preview to review any errors.
  2. Click Send invitations to dispatch all emails.

Resend or Cancel an Invitation#

  1. Go to Admin → People → Invitations.
  2. Find the pending invitation in the list.
  3. Click the menu → Resend or Cancel.

What Happens After Invitation#

  • The user receives a "Welcome to SkillStream LMS" email.
  • They click the link and set their password (unless SSO is enforced).
  • Their account appears in Admin → People → Users with status "Active".
  • Any course enrollments you pre-assigned are immediately visible in their dashboard.

Troubleshooting#

User says they did not receive the invitation email Check the user's spam/junk folder. You can also resend the invitation from the Invitations list. Ensure the email address was entered correctly.

CSV upload shows validation errors Common causes: invalid email format, department/group names that do not match exactly (case-sensitive), or the role value is not one of the three accepted values.

Invitation has expired Invitations expire after 7 days. Go to the Invitations list and resend.
