The Users list at Admin → People → Users shows all active and inactive accounts in your organization.

View All Users#

  1. Go to Admin → People → Users.
  2. Use the search bar to find users by name or email.
  3. Filter by role, department, or status using the filter dropdowns.
  4. Click a user's name to open their profile.

Edit a User's Profile#

  1. Click the user's name to open their profile.
  2. Click Edit in the top-right corner.
  3. Update the fields you need to change:
FieldNotes
NameFirst and last name
EmailChanges the login email; user receives a confirmation
RoleLearner, Instructor, or Admin
DepartmentMust match an existing department
Job titleDisplayed in reports and the user profile
StatusActive or Inactive
  1. Click Save changes.

Change a User's Role#

  1. Open the user's profile and click Edit.
  2. Change the Role dropdown to the desired role.
  3. Click Save changes.

Role change takes effect immediately. If downgrading an admin, the change cannot be undone by that user.

Deactivate a User#

Deactivating a user prevents them from logging in but preserves all their training records and completion history.

  1. Open the user's profile.
  2. Click Deactivate account.
  3. Confirm in the dialog.

To reactivate, open the same profile and click Reactivate.

Delete a User#

Warning: Deletion is permanent. The user's account, completion records, certificates, and responses are deleted. Use deactivation instead if you may need the data in the future.

  1. Open the user's profile.
  2. Click ⋮ More actions → Delete account.
  3. Type the user's email address to confirm.
  4. Click Delete permanently.

Export Users#

  1. Go to Admin → People → Users.
  2. Click Export → CSV.
  3. The export includes all visible columns and respects any active filters.

Impersonate a User (System Admins Only)#

System administrators can view the platform as any user for troubleshooting:

  1. Open the user's profile.
  2. Click ⋮ More actions → Impersonate.
  3. You are logged in as that user. A banner at the top confirms you are in impersonation mode.
  4. Click End impersonation when done.

Impersonation actions are logged in the audit trail.
